Hello Everyone,

I was wondering how your office deals with email that relate to projects in the office.

1. What type of program are you using?
2. How do you save emails for each project?
3. Are they backed-up to a server?
4. What size is the firm?

Please feel free to add to the list of questions that you feel are important to setting up a productive system regarding office emails.

1. Microsoft Outlook 2003 at least and Server 2003
2. Manual save to job directories on our job server or in personal folder on another server.
3. tape backup daily archived weekly at the nearest safe deposit box. I'm pushing for a backup on an offsite server, but I need to investigate further...
4. 90 give or take a few

Alotted maximum limits on inbox file size keeps e-mails forces organization of the files (not to minimize the impact of the potential for an impending doom of lawsuits being enough of a reason to backup e-mails).

Actually it is quite easy.
1. Outlook
2. Folder created for mail under project # folder. Individual .pst files that are linked to that folder through outlook under file>new>data file management>browse to folder and named by user name. Created sub folders sent and recieved. Allows access to email and all of outlook's search and sort options.
3. All project folders and related files are on the central server. No items related to projects are on individual workstations.
4. Our department 45. Overall consulting firm @ this location 1200.

This essentially allows us to keep all correspondence that is sent or recieved by emai. We print only emails that are considered essential information for project to be placed in a hard coy folder. Hope this helps.

2. Print email and file the sheets of paper in the project file folders.
3. tape backup daily daily.
4. 17 or so.

I think the firm needs to start doing this more often. Some people do it, some people do not. There are already made subfolders on the server for emails. I think printing is faster than saving onto the server.

Even us, who are a small company , do the same!

3. I'm not sure about backup- I'll have to check. ;)
4. office staff- 9!

This essentially allows us to keep all correspondence that is sent or recieved by email and allows anyone to view all emails about that project if someones sick or away. We print only emails that are considered essential information for project to be placed in a hard copy folder.

not sure if u meant it to sound personal, but this kind of remark may not go down well with some!

it is also good practice to qualify your preferences. "I do not like" is hardly universal, after all.
